What we collect, and what we do with it.

OtterFront is made by Phan Ventures LLC in Minneapolis, Minnesota. This page covers otterfront.com and the OtterFront app. Questions go to hello@otterfront.com.
What we collect
- The early access list. Your name, email address, business name and type of business if you give them, and the IP address the request came from. We use the IP address only to stop automated signups.
- Your account. Your name and email address, and your password, which is stored only as a one-way hash that nobody can read back. For each signed-in session we keep the IP address and browser it came from.
- Your business's records. The contacts, accounts, opportunities, bookings, tasks, tickets and settings you put into OtterFront. They belong to your business. We store them to run the product for you, and each business's records are walled off from every other business at the database.
- Your support mailboxes. If you connect a mailbox to a support brand, we keep its sign-in details encrypted, read new mail in it to file each message on a ticket, move handled mail to a folder named Processed, and send your replies through it. The messages are stored on the ticket.
- Feature requests you send from inside the app.
- Visits to our public pages, through Google Analytics if you accept it, described next.
Google Analytics
We use Google Analytics to count visits to our public pages and see where visitors came from: which page they viewed, the referring site, their browser and device, and their approximate location, which Google works out from the IP address. It sets Google Analytics cookies (_ga and _ga_*) to recognize a returning visitor.
- It runs only after you click Accept on the banner at the bottom of the page. Until you do, and if you click No thanks, it is not loaded and nothing is sent to Google. Your choice is saved in your browser.
- You can change your choice at any time with the Cookie settings link in the footer of these pages.
- It runs only on otterfront.com's public pages: the home page, roadmap, changelog, this page, sign in and sign up. It never runs inside the signed-in app, and never on a business's booking pages.
Google processes this data under the Google Privacy Policy. You can opt out with Google's browser add-on.
Cookies
- A session cookie that keeps you signed in.
- A cookie that keeps you signed in to a business's help site, for up to 30 days.
of_org, which remembers which business you are working in.- Google Analytics' cookies, only if you accept them, on the public pages listed above and nowhere else.
We do not use advertising cookies.
If you booked with a business that uses OtterFront
A business that takes bookings through OtterFront decides what it asks you for, and is responsible for it. We store and process that information on the business's behalf and do not use it for anything else. Card details go straight to the business's own Stripe account. OtterFront never sees or stores your card number. To see, change or delete what a business holds about you, contact that business.
If you asked a business that uses OtterFront for help
A business that answers support through OtterFront receives your messages, your name and email address, and, from a Get help form in its app, the page you were on and your browser. We store them on the business's behalf and do not use them for anything else. You can see your requests on that business's help site by signing in with a link we email you. To have them deleted, contact that business.
Who else handles it
These companies run parts of OtterFront for us and handle data only to do that:
- OVHcloud, which runs the server the site is hosted on.
- Neon, which runs the database.
- Stripe, which handles payments for each business.
- Resend, which sends account and booking emails.
- Google, which runs Google Analytics.
What we do not do
We do not sell personal information, and we do not share it with anyone for advertising.
Keeping and deleting it
We keep account and business data for as long as the account is open. Email hello@otterfront.com to see what we hold about you, to correct it, to have it deleted, or to come off the early access list. We will tell you when it is done.
Changes
When what we collect changes, this page changes with it and the date at the top moves.
